Automation & integrations for SMEs

Process automation and integrations that pay off

Typing the same data into ERP, shop, CRM and Excel, copying quotes together by hand, entering invoices after the fact? We connect your systems via interfaces and automate recurring workflows, from enquiry to invoice: with n8n and custom code, step by step, with the first workflow live within a few weeks.

Where are things getting stuck?

Most companies don't come to us wanting “process automation”, but with a specific annoyance. Four typical starting points, and what we make of them.

Automate recurring workflows

“Every enquiry, every quote, every invoice passes through three pairs of hands.”

We map the workflow cleanly once and then let it run: create the enquiry, generate the quote, hand over the order, issue the invoice, send the reminder. Your team only steps in for exceptions.

  • Workflow automation
  • Quote to invoice
  • Approvals

Connect ERP, shop and CRM

“The shop doesn't know what's in stock, and the ERP doesn't know what's been sold.”

We program the interfaces between your systems: items, stock levels, orders, customers and invoices flow automatically to where they are needed. Even with legacy systems that lack a clean API.

  • ERP integration
  • API development
  • System integration

Replace Excel spreadsheets

“Our most important process runs in an Excel file that only one person understands.”

The spreadsheet that has grown over the years becomes a small web application with permissions, history and validation that talks to your systems. The logic stays; the sources of error and competing versions disappear.

  • Replace Excel
  • Web app
  • Data quality

AI automation for unstructured work

“The rule is clear, but the input is emails, PDFs and free text.”

Where rules alone are not enough, AI agents read documents and messages, classify them and pass structured data on to the workflow. With an approval step, traceable and GDPR-compliant in the EU.

What SMEs typically automate first

Automation pays off wherever the same data is entered several times or a workflow waits for someone every day. Six workflows that companies with 10 to 500 employees usually start with.

From enquiry to invoice

An enquiry from the web, email or phone lands in the CRM, becomes a quote, then an order in the ERP once accepted, and finally an invoice, including dunning. No retyping, no asking which version is current.

Shop and ERP in step

Items, prices and stock levels go from the ERP to the shop, orders and customer data back to the ERP, shipping status to the customer. Shopify, WooCommerce, Shopware or a custom shop, connected to SAP, Microsoft Dynamics, BMD, odoo and the like.

Incoming invoices and receipts

Invoices from the inbox are read, matched against purchase order and delivery note, submitted for approval and passed on to accounting or your tax adviser, for example via a DATEV or BMD interface.

Maintain master data only once

Customers, suppliers, items and employees are created in one system and automatically synchronised to CRM, ERP, ticketing system, newsletter tool and time tracking. One truth instead of five versions.

Reports that write themselves

Revenue, utilisation, open items or production figures are pulled from the source systems and delivered as a dashboard or Monday report. Nobody builds the Excel analysis on a Friday any more.

Onboarding, service and notifications

New customer, new employee, new order: set up access, send documents, assign tasks, keep customers informed of the status. All triggered by the event, not by a calendar reminder.

Low-code where it's enough. Custom code where it counts.

Not every automation needs bespoke software, and not every one holds up with a construction kit. We choose the tool by workflow, data volume and risk, not by what we happen to want to sell.

As a software agency with over 20 years of experience, we know both sides and have been building integrations with ERP, CRM, shop and industry-specific systems for years.

  • n8n and Make for standard workflows

Notifications, simple hand-offs between cloud tools, forms into the CRM. Quick to build, easy for your team to follow, self-hosted in the EU on request.

  • Programmed integrations for core processes

When stock levels, prices, orders or invoices are flowing, you need error handling, retries, logging and tests. We program that in TypeScript or PHP, documented and with the source code in your hands.

  • Your own web app when the workflow needs a user interface

Approvals, checks, special cases and reports get a small application that replaces Excel and talks to the systems behind it.

  • Even without an API

We connect legacy systems without an interface via the database, file export, email or automated user interfaces. Cleanly encapsulated, so that a later system change does not break the workflow.

How your automation project works

No big project that changes everything at once. We start with the workflow that costs the most time, and you decide after each step whether to continue.

  1. 1

    Initial consultation

30 minutes with the managing director: which workflows are a nuisance, which systems are involved, where hours are being lost. You get an honest assessment of what can and cannot be automated. Free and non-binding.

  2. 2

    Workflow analysis

Together with the people who run the process today, we map it out: steps, systems, exceptions, data fields. We check the interfaces of your systems and assess each workflow by time saved and effort. The result: a prioritised plan with a cost range.

  3. 3

First workflow in 2 to 6 weeks

We implement the most important workflow first, with real data and an approval step for as long as you don't yet trust the result. From day one, you measure how many cases run through without intervention.

  4. 4

    Integration & rollout

Interfaces to ERP, CRM, shop and accounting, error handling and logging, permissions, training for your team. The automation runs where your people already work.

  5. 5

    Operation & next workflow

Monitoring, maintenance and adjustments when systems or rules change. Then the next workflow, until individual automations become an end-to-end process, with AI agents for the unstructured parts if you wish.

AI writes code. We build software.

Thanks to wunderOS and our wunderFactory.

AI has opened up programming to everyone: anyone can put a prototype together today. Whether it turns into software that holds up in day-to-day operation is decided afterwards – in architecture, security, testing and maintenance over the years. That is exactly where prompting and real expertise part ways.

That is why we built our own operating system: wunderOS runs our company from sales to development. At its heart is the wunderFactory, where our AI agents, the wunderBots, build to the architecture rules, standards and tests from 20 years of software development – led by experienced software architects.

The result is software built noticeably faster and more affordably – in the quality you hire us for. We are AI experts and use that to get the best out of your project.

What you get out of it:

  • More software for the same budget

The wunderBots handle the routine work. You pay for architecture, decisions and results – not for legwork.

  • Live in weeks, not months

From the workshop to the first usable version, with changes after that in days. You see early on what works.

  • Quality is built in, not bolted on

Tests, reviews and security checks run automatically in the wunderFactory with every change – not just when there is time.

  • Architects, not prompters

The AI executes, we decide: data model, interfaces, operations. That way your software stays maintainable and extensible five years from now.

Bottom line: Bespoke software on terms that make sense for SMEs too – built with AI, with software architects accountable for it.

AI-generated.

We had the wunderworkers develop bespoke industrial software for creating recipes for a highly sensitive industrial process.

The collaboration was extremely professional from the outset: the team quickly understood our complex requirements, implemented them precisely and always paid close attention to maximum reliability and security. I would particularly like to highlight their technical know-how, clean documentation and fast response times for questions or change requests.

The recipe editor is now running in several plants in Sweden, Italy and the Czech Republic.

The software runs reliably, is intuitive to use and our customers are completely satisfied. We can recommend wunderwerk without reservation!

Frequently asked questions about process automation and integrations

Question not listed? We will answer it directly with the managing director in the free initial consultation.

What does process automation mean in practice?

Process automation means that a recurring workflow, for example from enquiry through quote and order to invoice, runs without data being transferred manually between systems. Software takes over the routine steps; people only decide on exceptions. wunderwerk implements this with integrations between your existing systems, workflow tools such as n8n and, where necessary, custom software.

Which processes are worth automating first?

The ones where the same data is entered several times or someone waits for a step every day, typically quote and order processing, incoming invoices, shop–ERP synchronisation, master data maintenance and reporting. In the workflow analysis, wunderwerk assesses each process by hours saved, cost of errors and implementation effort, and starts with the one that pays off fastest.

How much does process automation cost?

That depends on the number of systems, the quality of their interfaces and the exceptions in the workflow. wunderwerk implements a simple n8n automation between two cloud tools in a few days; a programmed ERP integration with error handling and tests takes a few weeks. We give you a transparent cost range before every step, and you decide after each step whether to continue. You can get an initial estimate via the cost calculator or in the initial consultation.

n8n, Make or Zapier, or custom software after all?

For standard workflows between cloud tools, n8n or Make are enough, and wunderwerk is happy to use them, self-hosted in the EU on request. As soon as stock levels, prices, orders or invoices are flowing, large data volumes are involved or a workflow needs its own user interface with approvals, we program the integration or build a small web application: with error handling, logging, tests and source code that you own. The workflow analysis shows which option fits.

Can you connect our ERP, CRM or shop?

Yes. wunderwerk programs interfaces (APIs) to SAP, Microsoft Dynamics, odoo, BMD, DATEV, HubSpot, Salesforce, Shopify, WooCommerce, Shopware and many industry-specific systems. Your systems stay in place; we add the data flow wherever data is retyped today. An overview of your systems and their interfaces is enough for an initial assessment.

What if our system has no interface?

Then we connect it another way, for example directly via the database, via file export and import, by email or through an automated user interface (RPA). wunderwerk encapsulates this connection so that the workflow survives when the legacy system is replaced later. In the workflow analysis, we check which route is secure and stable.

How do you replace an Excel solution without losing the logic?

By reading the spreadsheet first, not the wish list. Together with the people who use it, wunderwerk documents the formulas, rules and special cases of the existing Excel solution and turns them into a small web application with permissions, history and validation. The old file keeps running in parallel until the results match.

How long does it take until the first automation is live?

At wunderwerk, the first workflow is usually live within 2 to 6 weeks, depending on systems and exceptions. Before that come the initial consultation and the workflow analysis, which together take a few days. Further workflows follow in short steps, each with a measurable result.

Is it GDPR-compliant? Where is the data processed?

Yes. wunderwerk hosts automations and integrations in the EU, on your own infrastructure or in a private cloud if you wish; we also run n8n self-hosted. Access is logged, permissions are mapped and data processing agreements are concluded with all services involved. As a team from Austria, this is standard practice for us.

What is the difference from RPA?

RPA (Robotic Process Automation) operates existing user interfaces as if a person were clicking; it is quick to set up but fragile as soon as a screen changes. wunderwerk only uses RPA when a system genuinely allows no other connection, and prefers interfaces and workflow tools that pass data on directly and traceably.

Is there funding for digitalisation and automation?

Yes, digitalisation and automation projects are funded in Austria, Germany and Switzerland through various programmes, depending on country, region, company size and project. wunderwerk carries out an initial funding check with you and shows which options are available for your project. The easiest way is in the free initial consultation.

Why wunderwerk for process automation and integrations?

Because we can do both, workflow tools and software development, and choose the tool by workflow rather than by sales interest. wunderwerk is a small, well-coordinated team of software architects, full-stack developers and AI engineers in Tyrol, Vienna and Berlin with over 20 years of experience in integrations with ERP, CRM and shop systems. You talk directly to the managing director and keep the source code.
